You should verify that the child you are adding to Galileo has not already been added; the child may be enrolled in another center within your agency or enrolled in a previous program year. Refer to the Search for a Student for details.
A child is added to the:
agency and at the same time they are directly enrolled in a specific center and class.
center and then you may enroll them in a class(es) at a later date, using the Enrollment page.
Prior to adding a child, you should verify that the child is not already in the system. Refer to the Search for a Child page for instructions.
1. Click one of the following:
a. Child/Family>Records>Child.
b. Merlin>Child>Demographics.
c. Merlin>PIR>Child.
2. Click the Add new child record link.
3. Determine how you wish to enter the children into Galileo. Select:
a. Enroll child in the selected class - This option adds and enrolls the child at the same time into the selected center and a class.
b. Enroll child in the selected center - This option adds and enroll the child at the same time into the selected center. Enrollment to a class is done at a later date.
c. Don't enroll child (just add to agency) - This option adds the child to the agency. Enrollment to a center and class is done at a later date.
4. Based on enrollment option selected earlier, use the down arrow on Center drop-down menu to select center.
5. Based on enrollment option selected earlier, use the down arrow on Class drop-down menu to select the class.
6. Use the down arrow on Enrollment date drop-down menus to select the enrollment date.
7. Enter the requested information.
8. If the there is a form(s) to complete, type the necessary information. If you chose not to enter this information at this time, you may enter it at a later date.
a. ATI has made the Galileo SCHOOL READINESS Child Demographics form default for all programs as a default form. Your program may opt to utilize this default form, another form, or no form.
b. If you do not see the desired default form, uncheck the checkbox for Hide default expanded forms. If you see the form and would like to hide this form, check this checkbox.
c. Enter the necessary form information now.
9. To save your entry and
a. enter another child, click the Save/New button. This option saves the entry and clears the page so you may enter another child.
b. return to the previous page, click the Save/New button. You'll then be taken back to the page you started at.
10. When entering a new child and you get a Duplicate Child message, this means that the child is probably already in Galileo, just not enrolled in your center or enrolled in a previous year.
11. Use the Transfer, Cancel Save or Continue with Save button depending on your message.
12. If the child was in a previous program year, refer to the Annual Data Setup page for instructions on transferring this child to the current program year.
